This is an individual contributor role whose key purpose is to provide high quality, efficient and effective administrative support to the HR team and a professional level of customer service to the wider organisation and the people and providers we work with.
Alongside covering daily administrative tasks and handling and closing queries as they come in, the job holder will take full ownership of some key processes, systems and functions; this means there is the need for technical dexterity, good adherence to routine and a strong sense of professional pride.
The HR Administrator covers a range of tasks including, but not limited to, managing the HR-related inboxes, responding to employee queries, passing queries on to others in the team, keeping the HR systems up to date and really importantly ensuring any changes that impact people’s pay and benefits are captured and reported as well as running the HR component of the Payroll process.
Requirements
Provides first-line advice on all HR policy/procedure/system queries, owning, supporting, resolving or escalating as appropriate.
Plays a key role in ensuring the integrity and accuracy of employee data, working to resolve any issues that may emerge.
Data entry including, but not limited to, accurate and timely entry of new employee information and employee status changes, ensuring accurate HR administrative processes and procedures are followed.
Works with Finance to ensure that payroll and benefits data is captured accurately and in a timely manner, with the correct authorisations in place to ensure a robust audit trail.
Maintains the HR System, HR intranet (when up and running) and HR Shared Drive in such a way that records are up to date, GDPR compliant and easy to find for all HR users.
Takes responsibility for a range of HR administrative processes, for example:
- Benefits administration
- Probation monitoring
- Sickness absence records
- Maternity/paternity processes
- Maintenance of the HR intranet pages (when established)
- Monitoring timeframes for employees (fixed term and migrant)
- Work Instructions and Processes
- Note-taking in HR meetings
